Introduction

The purpose of this Anti-Spam Policy is to prevent abuse of BoldTek CRM’s communication and marketing automation features. It defines acceptable practices for sending emails, SMS, and other messages through the platform, and ensures compliance with global anti-spam and privacy regulations.

This policy applies to:

  • CRM account owners and users

  • Teams using campaign/email modules

  • API integrations triggering outbound messages

  • Third-party service providers connected to the platform

What Is Considered Spam?

“Spam” refers to unsolicited, irrelevant, or inappropriate messages sent over digital communication channels, typically for advertising or promotional purposes, without the recipient’s consent.

Examples of spam:

  • Sending marketing emails without prior opt-in or consent

  • Using third-party purchased, scraped, or rented contact lists

  • Sending deceptive or misleading subject lines or sender identities

  • Repeatedly contacting someone who has opted out or unsubscribed

Acceptable Use Requirements

Unsubscribe Option

Every marketing message must include a working, clearly visible unsubscribe link.

No Pre-Checked Boxes

Contact List Standards
  • You must not upload or message contacts from:

    • Purchased or third-party lead lists

    • Public directories or scraped sources

    • Cold lists without documentation of consent

  • All contacts added to BoldTek CRM must:

    • Be acquired with documented opt-in

    • Include contact source metadata (when/how consent was obtained)

Messaging Requirements

All outbound messages (email, WhatsApp, etc.) sent through BoldTek CRM must comply with the following:

Identification
  • Clearly state the sender identity (company name, physical address, contact details)

  • Avoid misleading or disguised sender names or domains

Content Accuracy
  • Subject lines must accurately reflect the message content

  • No false claims, misleading CTAs, or deceptive formatting

  • No fake urgency (e.g., “URGENT ACTION REQUIRED” for non-critical messages)

Consequences of Policy Violation

  • Use of scraped lists or spoofed domains

  • Multiple spam complaints from ISPs

  • Attempting to bypass opt-out mechanisms

User Responsibilities

CRM users are responsible for:

  • Keeping consent records for each contact

  • Ensuring marketing practices follow applicable laws

  • Reviewing and testing campaigns before launching

  • Using validated sender domains and DNS records

Reporting Spam

If you believe someone is using BoldTek CRM to send spam or abusive messages, report it immediately to: crm@boldtek.com
Please include:

  • Email headers or screenshots

  • Description of the incident

  • Contact information for follow-up

We review all abuse reports promptly and take necessary action.

Policy Updates

This policy may be updated periodically to reflect changes in law, platform features, or industry standards. All updates will be posted on our website and/or inside the CRM website.
